Create a tender

Every tender starts from the New project button on your projects list, at /projects. That list is where your whole company's tenders live — every job anyone on your team is running shows up there, not just your own.

Creating a project

Click New project and fill in what you know — you can always change any of it later. The form asks for:

  • Project name — required.
  • Client — pick an existing client or type a new one.
  • Project type — Residential, Commercial, Industrial, Mixed Use, Fitout, Civil, Hospitality, Healthcare, or Education.
  • Build type — New Build, Extension, Refurbishment, or Small Works.
  • Due date and due time — when the tender is due back to the client.

None of this locks anything in — project type and build type are there to describe the job, not to change what tools are available to you. Click Create and the project opens straight into Takeoff. See Upload drawings for what happens next.

Tracking progress with the status chip

Every project carries a status chip that moves it through a fixed set of stages. Click through these as the job actually progresses:

StageWhat it means
Documents PendingWaiting on drawings from the client.
Documents ReceivedDrawings are in.
Uploaded on EstimateOneListed back out on EstimateOne (or wherever you track it).
MeasuringTakeoff is underway.
Inputting QuotesSubbie quotes are being entered and compared.

These five are yours to set in whatever order matches reality — they're a record for the team, not a gate that blocks anything. Everyone looking at the projects list can see at a glance where each tender is up to.

Submitted is different from the five above it. It isn't something you pick from a list — it's set automatically, the first time someone clicks Mark as Submitted, and only then. That action also locks in a snapshot of the tender exactly as it stood when it went out, so there's always a record of what the client actually received, even if the live project keeps changing afterwards.

Once a tender is submitted, set the outcome as soon as you hear back:

  • Won
  • Lost
  • On Hold

Lost tenders drop off your active list so it stays focused on live work; Won and On Hold stay visible.
